Privacy Policy

1. Who we are
Super Cool CRM DMS (the "Software") is operated by Gregory Gority ("we," "us," or "our"). This Privacy Policy explains what personal information the Software handles, how it is used, and the choices available. Questions can be directed to the contact at the end of this policy.
2. Our role and the dealership's role
The Software is a dealer management and customer relationship platform intended for use by automobile dealerships. We handle personal information in two capacities:
- As the controller of account information for the authorized users who access the Software (for example, dealership staff). We decide how that account information is handled.
- As a service provider (processor) for customer information that a dealership enters into the Software about its own customers. In that case, the dealership is the controller of that information and is responsible for how it is collected and used, and we process it only to provide the Software on the dealership's behalf and under its instructions.
If you are a dealership's customer and have a question about your information, please contact the dealership you did business with. We will assist that dealership in responding.
3. Information we handle
Authorized user account information. Name, email address, login credentials (stored in hashed form), a phone number used for two-factor authentication, and access and activity logs.
Customer information processed on a dealership's behalf. Depending on how a dealership uses the Software, this may include:
- identity and contact details (name, phone numbers, email, current and previous address, preferred contact method);
- government and sensitive identifiers (date of birth, Social Security number, driver's license number, state, and expiration, citizenship status);
- financial and employment details (current and previous employer, occupation, income, time employed, residential status, monthly housing payment);
- personal references provided for credit applications;
- deal and activity records (finance applications, showroom visits, sales opportunities, vehicle interest, notes and history);
- documents such as signed contracts and financing agreements;
- vehicle and transaction data (vehicle identification numbers, mileage, service and repair history, purchase and transaction records, trade-in details);
- messaging records (text message content and delivery status, and consent and opt-out records).
Technical information. Basic technical data such as IP address and browser information, and essential cookies used to keep you signed in and to secure your session.
4. How we use information
We use information to operate, maintain, secure, and improve the Software; to authenticate users, including by sending two-factor authentication codes; to make the Software's features available to dealerships; to provide support; and to comply with legal obligations. Customer information entered by a dealership is processed only to provide the Software to that dealership and according to its instructions.
5. Text messages
Current use. At this time, the Software sends text messages only for account security: one-time, two-factor authentication codes to authorized users when they sign in. By enabling two-factor authentication and providing a mobile number, you consent to receive these authentication text messages.
Message frequency depends on your sign-in activity. Message and data rates may apply. Reply STOP to opt out of these messages and HELP for help. Note that opting out of authentication messages may prevent you from signing in. Mobile carriers are not liable for delayed or undelivered messages.
We do not share mobile opt-in information or phone numbers with third parties for their own marketing.
Planned use. A customer-messaging feature, which would allow a dealership to text its own customers (for example, deal updates or reminders, and later promotional messages with appropriate consent), is planned but not yet available. Before that feature launches, we will update this policy, register the appropriate messaging campaign, and apply consent and opt-out controls that distinguish service messages from promotional messages.
6. How we share information
We do not sell personal information, and we do not share it with third parties for their own purposes. We use the following service providers (subprocessors) to operate the Software, and they process information only to provide their services to us:
- Telnyx — delivery of text messages;
- Resend — delivery of email;
- Render — application hosting and database storage;
- Cloudflare — network delivery and security.
We may disclose information if required to do so by law or valid legal process, or to protect the rights, safety, or security of users, the public, or the Software. We may add integrations with other service providers or partners in the future; if we do, we will update this policy and provide notice before any new sharing of personal information begins.
7. Cookies
The Software uses only essential cookies needed to sign you in and keep your session secure. We do not use cookies for third-party advertising.
8. Data retention
Text messages are retained for approximately four years by default, and a dealership may configure a different retention period. Consent and opt-out records are kept indefinitely as proof of permission and as required for legal compliance. Other customer information is retained for as long as the dealership's account is active and is deleted or returned upon request or upon closure of the account, except for records we are required to keep by law.
9. Data security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. These currently include encryption of data in transit using HTTPS/TLS, passwords stored in hashed form, two-factor authentication for account access, access controls, and the use of reputable hosting providers. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. As the Software continues to be developed, we will strengthen these safeguards and update this section accordingly.
10. Your choices and rights
Depending on where you live, you may have rights to access, correct, delete, or restrict the use of your personal information, or to opt out of certain processing. Because a dealership controls the customer information it enters into the Software, customers should direct these requests to the dealership they did business with; we will assist the dealership in responding, except where we are required by law to retain certain records (such as consent and opt-out records). Authorized users may contact us about their own account information.
11. Children's privacy
The Software is intended for use by businesses and their staff and is not directed to children. We do not knowingly collect personal information directly from anyone under 18 years of age through the Software.
12. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above, and we will provide notice before changes that materially affect how personal information is handled.
